As a founder managing my own business, I needed a solution that could handle invoice processing without the manual data entry that was eating up my time. Not just basic OCR that still needs validation, but true automation that matches my accounting system and business workflow.
I also wanted a way to keep my books up to date without the quarterly scramble. I know what I need to track, but manually processing each invoice takes mental energy and time that could be spent growing the business.
It helps me stay organized year-round because I'm not worrying about hours of data entry waiting for me at quarter-end.
The insight that changed everything
Every quarter, I would spend an entire afternoon—sometimes 6 hours or more—manually entering invoices into Xero. I'd put it off until the last possible moment, and it would hang over me like a dark cloud.
I knew there had to be a better way, but existing solutions were either too expensive, too complex, or still required too much manual work.
I realized I could build a prototype using n8n to automatically extract invoice data and push it directly into Xero. The first version was rough, but it worked.
That prototype saved me 6 hours every quarter. More importantly, it freed me from the mental burden of knowing that tedious task was waiting for me.
